1. How long would I be required to work as a volunteer?
a. Usually, the volunteering hours during the race would be of six hours and for other events, about 4 hours. However, please note that the time of the requirement varies, depending on the participation size and event.
b. Certain volunteers may be asked to report earlier than others based on the jobs that they opted for. Most volunteers arrive about 1.5 hours before the race and most remain until most of the runners have crossed the finish line.
c. Volunteers will be given an orientation by the Patna Marathon team prior to being assigned to a task. Please ensure your availability for the same during the race week.
2. How do I know that I am officially signed up to volunteer at this race?
a. You will receive a confirmation email during first week of January 2012 confirming acceptance of your volunteering effort. If you received a confirmation email, then you are officially signed up to volunteer for this race. If you don’t receive a confirmation email, you should contact Patna Marathon Coordinator, Deepankar Jyoti at coordinator@patnamarathon.com.
b. You may also receive an email the week of the race with more detailed information on your job responsibilities and any other pertinent information
c. You may only sign up for one volunteer opportunity at a time so if you wish to do another event rather than the one you originally signed up for, you must cancel out of the volunteer opportunity you first selected before signing up for something else.
3. How do I know that I’ve been properly credited with volunteering at this particular event?
a. We typically send out thank you emails no later than the Tuesday after the event has concluded. This is an email that thanks you for volunteering. Your member history will also be updated at the beginning of the following month.
b. You should always save the confirmation email as a receipt. If you have not received a confirmation email by the end of the following week please email the volunteer office
c. The month after you have volunteered a volunteer credit will appear in your member history.
4. What is the proper dress code as a volunteer at Patna Marathon Event?
a. There is no specific dress code at registration. Our advice is to dress comfortably as per the weather
b. However we do ask that you not wear anything that would be widely considered inappropriate
5. What are the expectations when I volunteer at registration?
a. In most situations, the position entails one to one contact with individual runners
b. You may be required to stand for the duration of your shift
6. What will my specific job duties be?
Most volunteer jobs are the same for each of our races. The responsibilities for each job position are as follows:
a. Race Secretariat Companion
a. This involves handing the runners their race numbers and t-shirts at pre-race or race day registration.
Number pick up is at the race site for all other races unless otherwise specified
1. Inform runners on how to put on their scoring tag correctly
2. Direct runners to start area of the race
3. Assist in cleaning area and breakdown as needed.
b. Accommodation Companion
a. Ensure runner baggage is safely stored and appropriately tagged. No runner is allowed to leave their bag in the baggage pen without the correct baggage tag attached.
b. Check bibs against tagged baggage during retrieval process, a runner cannot take his/her baggage unless the baggage tag matches their bib number.
c. Inform runners to dispose of chip bags, chip instructions and other trash in the garbage bins to maintain a clean area.
d. Assist in cleaning area and breakdown as needed.
e. Calling in medical emergencies. Take note of your location (refer to the numbers on the nearest light pole) so that you can give an exact location IF you need to make a medical call
c. Start Companion
a. Assist with the smooth and successful start of the race.
b. Manage corral entrances (if there are corrals)and check runner bibs; ensure that runners enter corral corresponding to their bib color and that they enter the corrals at least 10 minutes before the race when corrals close. Runners who come after this point must go to the last corral regardless of bib color.
c. Keep the emergency lane clear for emergency vehicles, cyclists and other park patrons. Alert pedestrians and runners entering the race site to approaching bicycles and vehicles. Be vocal and upbeat in directing runners to the start and off the roadway!
d. Assist in cleaning area and breakdown as needed.
e. Calling in medical emergencies. Take note of your location so that you can give an exact location IF you need to make a medical call
d. Finish Companion
a. Responsible for keeping spectators off of the race course and out of the emergency lane pre-finish.
b. Responsible for keeping the post-finish area clear by keeping the runners moving once they cross the finish line.
c. Direct runners to medical, food, post-finish fluids, and baggage areas as necessary.
d. Cheer on runners as they finish!
e. Alert pedestrians and runners exiting the race site to approaching bicycles and vehicles.
f. Assist in cleaning area and breakdown as needed.
g. Calling in medical emergencies. Take note of your location so that you can give an exact location IF you need to make a medical call
e. Care Companion
a. Responsible for assisting in the setup and breakdown of the water and Gatorade stations along the course.
b. Each station will have a supervisor that will advise you on how to stack the cups as well as how to clean up the water station area.
c. Help distribute bagels and fruit at the post-finish fluid and food station.
d. Calling in medical emergencies. Take note of your location so that you can give an exact location IF you need to make a medical call
g. Traffic Control Companion
a. Cheer on the runners as they pass, but do not get caught up in simply watching the race.
b. Make sure all runners stay in the running lane for safety purposes. This lane must be clear of park users, bicycles, and vehicles at all times.
c. Calling in medical emergencies. Take note of your location so that you can give an exact location IF you need to make a medical call
d. Maintaining an emergency lane for vehicles/bicycles. Alert pedestrians and runners to approaching bicycles and vehicles in the emergency vehicle lane.
e. Assist other park patrons in getting across the race course when safe to do so.
f. Assist in cleaning area and breakdown as needed.
